1 Who looks after your data
The data controller is Sean Hamilton trading as MC Transports, a sole trader based in Brewood, Staffordshire. That's me, Sean Hamilton. I'm the only person who reads your enquiry.
For anything about your data, email info@mctransports.co.uk or call 07570 162074.
2 What I collect
When you ask for a quote
The quote form asks for:
- the collection and delivery postcodes
- the bike's make and model, a rough value, and whether it rolls, steers and brakes
- your preferred date, access notes and anything else you choose to tell me
- photos of the bike, if you add them
- your name, phone number and email address, and how you'd like me to reply
When you use the instant price checker
The price checker only needs two postcodes. I keep a log of each check (the postcodes, the price shown and the time) with a scrambled, one-way version of your IP address. That scrambled version is used to stop the checker being abused and can't be turned back into your IP address.
When you call, message or email
I'll have whatever you send me: your number, your messages and anything attached. WhatsApp messages are also handled by WhatsApp under its own privacy policy.
3 Why I use it, and the legal basis
- To quote for your job
Working out a price you've asked for. Legal basis: taking steps at your request before a contract.
- To do the job
Arranging the day, collecting and delivering the bike, and contacting you about it. Legal basis: performing our contract.
- To keep the forms working
Spam checks, the scrambled IP log and rate limits. Legal basis: my legitimate interest in keeping the site usable and free of abuse.
- To keep business records
Bookings and payments, as tax law requires. Legal basis: legal obligation.
I don't use your details for marketing, I don't sell them, and I don't add you to a mailing list.
5 How long I keep it
- Enquiries that don't go ahead
2 years from your last message, so I can pick up where we left off if you come back.
- Bookings and accounts
6 years. HMRC says a sole trader must keep records for at least 5 years after the 31 January deadline for that tax year, which works out at about 6.
- Photos of your bike
Deleted once the job is done, or after 12 months if it never goes ahead.
- Price checks and spam logs
Up to 12 months.
6 Keeping it safe
Quote copies, photos and logs are stored outside the public part of the website, so they can't be reached from a web address. Your IP address is only ever kept in scrambled form. Photos are re-saved when they arrive, which strips hidden details such as the GPS position a phone camera can add. The site is served over an encrypted connection.
7 Your rights under UK GDPR
You can ask me to:
- give you a copy of the data I hold about you
- correct anything that's wrong
- delete it, where I don't need to keep it by law
- stop using it, or object to how I use it
Email info@mctransports.co.uk and I'll reply within one month, as the law requires. There's no charge. The Information Commissioner's Office explains these rights in full.
8 Cookies
This site doesn't set any cookies. There's no analytics, no advertising tracker and no social media pixel, which is why you didn't see a cookie banner.
The one exception is Google reCAPTCHA on the quote form: Google may set its own cookies when it loads, which only happens once you start filling the form in.
A few checklists on the site (in the guides and on the service pages) remember which boxes you've ticked, using your browser's own storage. That stays on your device and never reaches me.
9 Contact and complaints
Questions or worries about your data: info@mctransports.co.uk. I'd like the chance to put things right first.
You can also complain to the Information Commissioner's Office, the UK's data protection regulator.
If this policy changes in a way that matters, the reviewed date at the top of the page will change with it. How the rest of this site is written and checked is in the editorial standards; the rules for bookings are in the booking terms.
